Fix Up House needed to turn scattered WhatsApp photos and inconsistent inspections into structured, branded reporting. We built How’s It Going — the mobile-first capture flow, automated reporting, and deficiency board behind their SiteOps service.
Construction sites generate a constant stream of information — photos, inspection notes, deficiencies, resident questions — and most of it used to live in whoever’s phone happened to be on site that day. Fix Up House came to us with exactly that problem: their crews were documenting site conditions across WhatsApp threads and camera rolls, and neither their field teams nor the property managers and strata councils reading the results had a reliable way to see what actually happened. We built How’s It Going, the reporting system behind their SiteOps service.

The system had to work for two very different audiences from the same submission: field crews who needed a form fast enough to fill out standing on a roof, and stakeholders who needed a clean, readable report with no login required. So we built How’s It Going as a standalone mobile-first capture flow — a lightweight web form, not a native app, so a crew member can open it straight from a phone browser with no install step and no login friction. A spot report takes under a minute: a photo, an optional video clip up to 30 seconds, a note, and a status, submitted in one flow.
That single submission does two things automatically. It triggers a formatted, branded email report — carrying Fix Up House’s own branding, not a third-party tool’s — so what lands in a property manager’s or strata council’s inbox looks like it came directly from them. And it adds a card to that property’s deficiency board, where open, in-progress, and resolved items can be filtered by status or category. Each property gets its own board, replacing the tracking that used to live in one person’s head.

The part that mattered most wasn’t the capture form itself — it was making the whole thing configurable without us. SiteOps Digital customers set up their own inspection checklists and branding directly, so a new project or a new checklist item doesn’t require a developer. That was the brief from the start: build something Fix Up House’s own team could run day to day, not a tool they’d need to call us for every time something changed.

How’s It Going is now the operating system behind Fix Up House’s whole SiteOps offering – one submission in the field becomes a branded report and a live deficiency record, with nothing to write up by hand and nothing to duplicate. That’s the kind of build we like: solve the real workflow, then make it something the client can run without us.
